3. Organizational Structure and Responsibilities

3.1 Management

Business Manager / Director: Provides strategic direction and partnerships. Approves policies, programs, and service offerings. Ensures compliance with academic and professional standards.

3.2 Academic and Training Operations

Academic Project Supervisor: Oversees student projects and academic quality. Ensures originality, documentation, and compliance with departmental standards.

IT Instructors / Trainers: Deliver structured and practical IT training programs. Assess student performance and learning outcomes.

Research & Content Officer: Develops, updates, and manages project materials. Ensures relevance, accuracy, and academic compliance.

Career & IT Placement Officer: Manages industrial training (IT/SIWES) awareness. Verifies and shares job and internship opportunities.

3.3 Administration and Support

Admin / Customer Support Officer: Manages student engagement, records, and scheduling. Handles communication, documentation, and support services.

4. Policies and Standard Operating Procedures (SOPs)

4.1 Student Project Policy

  • Project topics must be approved and aligned with departmental requirements.
  • Proper requirement analysis and documentation are mandatory.
  • Projects follow defined stages: proposal, development, testing, and demonstration.
  • Strict adherence to plagiarism and originality standards is required.

4.2 Project Materials Policy

  • Materials are classified by department and academic level.
  • Version control and periodic updates are maintained.
  • Materials are provided for learning and guidance purposes only.

4.3 IT Training Policy

  • Training programs follow approved curricula and schedules.

4.5 Developer/Instructor Policy

  • All discussions between the developer and the student must be strictly related to the assigned project — personal conversations unrelated to the project are not permitted.
  • Developers/Instructors must not engage in social, emotional, financial, or non-project-related discussions with students.
  • Use of personal phone numbers, private social media accounts, or informal communication channels is prohibited.
  • Communication must occur only through officially approved channels (e.g., community phone line, official WhatsApp number, email, or project management platform).
  • Developers/Instructors are strictly prohibited from forming personal relationships with students during the project period.
  • Developers/Instructors must not request or accept personal meetings outside official project purposes.
  • Any attempt by a student to initiate non-project-related communication must be politely declined and reported to management.
  • Upon completion and final delivery of the project, official communication between the developer and student must cease.
  • Management reserves the right to monitor official communication channels for compliance.
  • Violation of this policy may result in disciplinary action, suspension, or termination.

These SOPs ensure quality, originality, and academic compliance.

5. Service Delivery Standards

  • Clear timelines are communicated for all services.

  • Full payment is made for salaried staff before the end of the working period.
